Draft — to be reviewed by the club committee. This notice explains what personal data Stanway Rovers FC collects through this website, why, and how it is looked after.

What we collect, and why

When you use an enquiry form on this website (for example to ask about hiring the Hawthorn Suite, to enquire about joining a team, or to contact us generally) we ask for your name, email address, an optional phone number, and your message, plus any extra details relevant to that form (such as an event date for a hire enquiry, or an age group for a playing enquiry).

We use this information only to respond to your enquiry and to keep a record that we have done so. We do not use it for marketing, and we do not sell or share it with anyone outside the club except as set out below.

Our legal basis

We process this information because it is necessary to respond to a request you have made (legitimate interests), or, for some youth/girls playing enquiries, with the consent of a parent or guardian.

Who sees it

Your enquiry is routed to the relevant volunteer(s) for that type of enquiry, for example:

Processors we use

This website and its forms run on Cloudflare (hosting, spam/bot protection and storage of submissions). Emails notifying volunteers of a new enquiry are sent viaResend. Both only process data on our instructions.

How long we keep it

Enquiry submissions are kept for 12 months, then automatically and permanently deleted.

IP addresses

We do not store your IP address. A salted, one-way hash of it is kept only briefly, to rate-limit form submissions and reduce spam — this cannot be used to identify you or reversed back to your IP address.

Children's data

We never ask a child for their own contact details. Where a form relates to a young player (for example a youth, girls or Wildcats playing enquiry), we only collect the contact details of a parent or guardian.
